TERMS & CONDITIONS OF BOOKING

Little Welsh Wood is the name of the campsite operated by CM Harries who is the provider of this holiday.

General

These terms and conditions confirm the legal terms (Terms) on which we will sell the products (Products) listed on our website (our site).

Our Privacy Policy and Cookies Policy form are part of these Terms and where applicable hyperlinks to this information is set out within these Terms.

These Terms apply to any contract between us for the sale of Products (Contract). Please read them carefully and make sure that you understand them before you place your order. You should also print a copy of these Terms for your future reference.

Use of Our Site

How We Use Your Personal Information

We will only use your personal information in accordance with our Privacy Policy. Please read this policy carefully and make sure that you understand it.

The Greener Camping Club

In order to comply with countryside planning policy, we operate as a Greener Camping Club members-only campsite.  The Club was established by people with a passion for sustainable, eco-friendly camping holidays.  When you book your holiday with us, you will be enrolled as a member of the Club.  Membership costs just £10 for the calendar year and gives you access to some of the greenest campsites in the UK.  It also includes participation in the Club’s ‘Trees for Life’ scheme, whereby a tree is planted for every member we enrol.

Payment

We request 50% conditionally-refundable deposit when booking a camping pitch or glamping unit.  Receipt of the deposit secures your booking.  Please note that the deposit includes full payment (£10) for your Greener Camping Club membership.  Pitches and glamping units are held provisionally for up to seven days, after which, if we have not received your deposit, the dates will be released.  The balance is required six weeks prior to your arrival date.  If we do not receive your balance by this time, we will assume you have cancelled your holiday and release the dates – see below.  For short lead-time bookings – ie those booked less than six weeks before arrival, the full amount will be requested to secure the booking.

Cancellation by You

If you cancel your holiday six weeks or more before your arrival date we will refund your deposit less a 20% administration fee and the £10 Greener Camping Club membership fee (which is not refundable).  If you cancel your holiday less than six weeks before your arrival date and we are able to re-let your holiday for the dated you have booked, we will refund your deposit and balance, less a 20% administration fee.  The £10 Greener Camping Club membership fee is not refundable.  In the event that we are unable to re-let your dates, no refund will be made.  Bookings are not transferrable to another family without our prior agreement in writing.  If you are concerned about the prospect of cancellation, please take out holiday insurance.  Please see further information below.

Cancellation by Us

Little Welsh Wood Campsite (CM Harries) reserves the right to cancel a camping or glamping holiday at short notice if we are unable to provide safe glamping accommodation or camping environment due to, extreme weather conditions, ill health, fire, flooding or any extenuating circumstances beyond our control.  Under such circumstances, your full payment will be returned to you.  My campsite cannot accept liability or responsibility for any loss, including consequential loss, caused by cancellation.  The Greener Camping Club membership fee is not refundable.

Cancellation in the Event of Covid-19 Infection

What happens if you have to cancel your booking for any of the following reasons:

  • You or a member of your party have a positive Covid-19 test
  • Your of a member of your party have to self-isolate due to contact with a Covid-19 sufferer
  • Your of a member of your party develop Covid-19 symptoms and are awaiting test results
  • Your area is put into a localised lockdown – that means you will be breaking the law if you travel.

If any of the above apply we will do our best to offer you alternative dates for your holiday.  If that is not possible then the ‘Cancellation by You’ clause will apply.

 

Special Corona virus Conditions

If , as a result of Government restrictions on campsites we are forced to cancel your holiday, we make a heartfelt request that rather than refund , we instead hold your deposit as a credit against a later stay, valid for up to 12 months from your original holiday dates.  If you postpone until the following year your Greener Camping Club membership will be carried over to the end of that year.  s a small business we are wholly dependent on your custom for our survival.  We  realise these are difficult times for all but your support will help us get through this and continue to make the Little Welsh Wood a wonderful place to stay.

Children & Adults Safety

There are many opportunities for play and adventure on the Little Welsh Wood campsite. Our aim is for children to have a truly enriching experience of space and freedom. But because we are a small working farm there are contingent risks to be aware of:  we allow campfires, the glamping structures have stoves, the campsite is located in woodland and it is possible for trees and branches to fall in adverse weather (we have contingency plans for emergency conditions), there is a spring and a boggy pond (fenced off near but outside the camping area), we have horses and farm livestock and various chores to do – so there are tractors and machinery around. These risks are small and should be self-evident – but if you are not clear, please ask! Parents are responsible for the supervision of their children on site at all times.  The Little Welsh Wood takes no responsibility for injury incurred on site.

Arrival & Departure Times

The camping pitches and glamping units are available from 3pm and you must arrive before 8.00 pm so as not to disrupt other guests. Please let us know if you are delayed for any reason so we may make suitable arrangements. Camping pitches must be vacated by 11am and glamping units by 10am.

Cars & Campervans

The speed limit while on Little Welsh Wood premises is 5mph.  In good weather we allow you to drive along the edge of the field bordering the woodland to set up on your arrival and pack up on departure but in adverse conditions and at all other times you must park your vehicle in the yard at the main entrance.  Wheelbarrows are provided for hauling your camping equipment.   Campervans are only permitted on certain pitches but if the ground is considered too soft to drive on  you may be required to park on a hard-standing area until conditions improve.

Consideration for Others

This is a peaceful, quiet campsite for the enjoyment of nature.  We do not allow radios, stereos or other sound systems and only quiet taking is permitted after 10pm . Acoustic instruments can be played before then such as guitars, harmonicas, flutes etc.  Noisy visitors who disturb other guests will be asked politely to leave, without refund.  If you are out for the night and arrive back late, please keep any noise to a minimum to avoid disturbing anyone else on site.

Recycling & Rubbish

All rubbish must be recycled.  That means separating glass, tins, plastic, paper, cardboard, food waste etc and placing them in the designated bins.  Only what is left, ie items that are not recyclable, can be placed in the landfill bin.

Campfires

Please only use the designated campfire places and do not enlarge or alter the position of the designated campfire places. Do not leave your campfire unattended and do not light a fire if it is windy. Little Welsh Wood accepts no liability for injury or damage caused by your campfire.  By lighting a fire you accept full responsibility for it.

Chemical Toilet Disposal

If you bring a portable toilet and wish to dispose of the contents in our disposal point (CDP) please ensure that the chemical used does not contain formaldehyde, chlorine, bleach or any other corrosive/toxic chemicals (blue).  We can supply at cost a green chemical that is 100% biodegradable and septic tank friendly.

Day Visitors

Day visitors are only permitted by prior agreement.  Fees may apply.

Badgers, Foxes and other wildlife
It’s nice to know that you might get a glimpse of both of these creatures. At night you’ll probably hear them scurrying around for sure. The problem is that they are looking for an easy feast and may try to raid your food stocks and recycling. One or two simple precautions will help. Put your food in suitable, hard containers and your recycling in the bins provided. Don’t leave food scraps lying around and make sure your tent is zipped up at bedtime.

Property Loss

Little Welsh Wood cannot be held responsible for any lost or stolen property.

Smokers

All of the glamping units and all undercover facilities are strictly NO SMOKING.  If you smoke, do it outside and dispose of your cigarette ends in the campfire or bin.

Dog Policy

You may bring a maximum of two dogs onto the campsite but they must be kept on a lead of no more than two metres while walking through the site or on a long lead no more than 10 metres  on your pitch.  Dogs must never be left unattended on site.  You must pick-up and bag any dog mess and dispose of it in the ‘dog poo’ bin.

The Weather

This campsite can be subjected to harsh weather conditions.  Very strong winds and torrential rain can occur at any time of year.  You must ensure that your tent is robust and pitched correctly.  In some cases we may ask you to move to another pitch.  Please note, we do not provide a refund because the weather has not worked out, or is not to your liking.  Extreme weather is covered in ‘Cancellations by Us.’

Cleaning

If you use any communal facility on site you must clean down afterwards  with the cleaning products provided.  You must completely clean your pitch of your belongings and any rubbish before your departure.

Additional Terms & Conditions relating to Glamping Bookings

Gas for the camp kitchen cooker is included in the price of the booking. They represent a significant cost to us and are provided on a ‘fair-usage basis.’  Please use gas cooker in accordance with the instructions and never leave anything aflame if you not in attendance.

Electricity to appliances in the Horse Lorry glamping unit is included in the price of the booking. Please ensure all appliances are used safely  in accordance with instructions and switched off when not in use.

Breakages and Damage

Should any damage or breakages occur, other than acceptable wear and tear, a charge for repairs or replacement will be made.  We reserve the right to charge for excessive cleaning where a glamping unit has been left in an unacceptable condition through waste, litter, interference in the structure, movement of furniture and contents etc.  Guests will be held responsible for any fire, smoke or general damage, or alteration to the structure caused by negligence.
